Alumni Association

  1. Definition
    1. "The Association" means the Alumni Association of the  “ACPM Medical Alumni”
    2. The "General Body" means the General Body of the Association.
    3. The "Executive Committee" means the Executive Committee of the Association.
    4. Alumnus means an ex-student of the ACPM Medical College, who has obtained a UG /PG degree/diploma from this Medical College
    5. "Trustees" means trustees of a trust set up by the General Body under these rules.
    6. An "honorary member" means any person other than an Alumnus, who has been nominated by the General Body of the Association.
    7. The financial year of the Association shall be reckoned every year from 1st January to 31st December of the following year.
  2. Name of the Association:
    1. The name of Association shall be “ACPM Medical Alumni” which shall be registered u/s Societies Registration Act of 1860 with the rules and regulation framed there as under.
  3. Jurisdiction:
    1. Area of operation of the activities of Association shall be Maharashtra.
  4. Aims and Objectives

a)    To promote and foster mutually beneficial interaction between staff, members of alumni and students of ACPM medical college, Dhule.

b)    To promote activities of the Alumni for holistic development of the students and enhancement of the social utility of their Alma Mater.

c)    To organize and establish scholarship funds to help the needy and deserving students.

d)    To Institute prizes and awards for outstanding project work, research papers or other professional activity by the students of the college

e)    To recognize outstanding social and community service by the Alumni and the students.

f)     To organize scientific, health care and educational activities for professional and community to enhance knowledge and application ability of professionals, strengthen social health indicators as value addition in the health, economic and social development of the nation.

g)    To undertake such lawful activities, conductive or incidental to achieve above objectives and/or beneficial to the interests of the ACPM Medical College and its Alumni.

h)   To assist students and scholars of the medical college and members of the Association in their academic pursuits and professional careers; and

i)     To conduct seminars, conferences, workshops, endowment lectures And other academic activities and also to keep in touch with one another of the medical faculty, non teaching staff and students.

j)      To create and establish Alumni endowments for granting scholarships, prizes and medals to the students showing high proficiency in their studies and honor former students of the Institute.

k)    To advise and interact with State and Central Government Bodies, Universities and Associations of other academic institutions on matters relating to promotion of higher education, training and management systems and thereby promote the welfare and status of the Institute.

l)     To collect funds by subscriptions, contributions, donations and gifts from members, non-members, Governments, Universities and other institutions and philanthropists for furtherance of the above objectives.

m)  To render financial aid to deserving poor students studying at the Institute.

n)   To render financial aid to deserving alumni in cases of extreme compassionate circumstances.

  • o)    To bring out magazines, souvenirs and newsletters highlighting the activities of the Institute and its Alumni

p)    To organize cultural and educational programmes and also to conduct

  1. The registered office of the association:
    1. The office of the association shall be situated at ACPM Medical College & Hospital, Moranne, Sakari Road, Dhule, and Maharashtra State.
  2. Patrons
    1. The Association may have Patrons as approved by the Executive Committee, provided that a patron shall be an out-standing medical professional  /scientist or a social worker.  Such appointment being for a period of one year.
    2. The Chairman of the board of the Governors of ACPM Medical College shall be an ex-officio Patron of the Alumni Association.


  1. Membership
    1. Any student who successfully obtains any under graduate degree or postgraduate diploma/degree from the ACPM Medical College , Dhule, Maharashtra stateautomatically becomes a Life member of the Association from the date of issue of the Result Notification granting the said degree on payment of the appropriate membership fees as decided from time to time.
    2. Any members of the staff or ex-member of the staff of the Medical College who does not fulfill the above condition as in 7(a) but recommended by the Executive Committee, may be enrolled as member of the Association on payment of the appropriate membership fees as prescribed in Clause 7(a).
    3. The membership fee in respect of all the members defined in Clause 7(a) and 7(b) would be decided by mutual discussions between the college and the Association from time to time.  The mode of collection of the membership fees would be decided from time to time in mutual discussions between the Medical College and the Association.
  2. Honorary Member
    1. The Association may nominate any person connected with the Medical College, who is likely to promote the interest of association, as an Honorary Member on the recommendation of the Executive Committee, for two years.


  1. Membership Rights
    1. All members and honorary members are entitled to receive all announcements etc. related with the activities of the Association, the Alumni Newsletter, and Annual Magazine through email.
    2. All Members are entitled to participate in all social functions and other activities of the Association. 
    3. All members will also be beneficiaries of any schemes or assistance Programmes administered by the Association.

10. Authorities: The following shall be the authorities of the Association.

  1. The Chairman
  2. The Vice-Chairman
  3. The General Body
  4. The Executive Committee
  5. The method of selection of the office bearers and their roles are defined in subsequent paragraphs.

11. The General Body

  1. The General Body shall consist of all the members of the Association as defined in Clause 7(a) 3(b) and 8.
  2. The General Body shall have following power-
  3. To consider/approve the annual report of the past year's activities,
  4. To consider and approve budget and plan of activities for the next year, approval of accounts,
  5. To conduct election of members of the Executive Committee,
  6. Appointment of auditors, legal advisors and any other matters arising from time to time.
  7. The General Body shall meet once in a year for transactthe business of association. Majority of the members present in the meeting shall approve all the resolution by voice vote. In case of equality of votes the `Presiding Officer` shall have the casting vote.
  8. The quorum for the General Body shall be 40 members present in person.  In case the quorum is not complete, the Chairman shall adjourn the meeting and reconvene it after 30 minutes, at which time, the members present will constitute the quorum and there will be no minimum requirement.
  9. Chairman may call special meeting of general body in the event to discuss the matter of urgency with notice of 10 days to the members. There is no requirement of quorum for special general meeting.

12. The Executive Committee:

  1. All the affairs of the Association shall be managed and administered by the Executive Committee.
  2. The executive committee comprising of 7 members. 4 Members of the executive committee should have a minimum of 10 years of professional experience and 3 members of the executive should have a minimum of 5 years of professional experience. after obtaining their undergraduate professional qualification.
  3. In case the Executive Committee is satisfied that any member or honorary member has been working against the aims and objective of the Association/the profession it may recommend the termination of the membership of the concerned member/honorary member
  4. The President or in his absence the Secretary shall be the returning officer for the elections.
  5. Members of the executive committee shall be nominated or elected in the annual meeting of the General Body.
  6. The duration of members shall be 2 years and members will be eligible for re-election or re-nomination.
  7. The Executive Committee shall have the right to co-opt members and/or appoint sub-committees from amongst the General Body from time to time for execution of specific assignments as required.
  8. Any casual vacancy amongst the members of the Executive Committee arising from death, resignation, removal or otherwise, may be filled by co-option by the Executive committee and the member so co-opted shall hold office for the balance term of the member being replaced. Such co-opted member shall be treated on par and have all the rights as enjoyed by the elected members
  9. The Executive Committee shall have the power to appoint from amongst the members of the General Body or from amongst its own members, Editor and other staff for the printing and publication of Brochures, Newsletters, Annual Magazine of the Association.
  10. The executive committee comprises of the following office bearer;

                                          i.    President

                                        ii.    Vice Chairman

                                       iii.    Secretary

                                       iv.    Finance Secretary

                                        v.    Three members

  1. Chairman

                                          i.    The Principal of the ACPM Medical, Dhule Maharashtra shall be the Chairman of the Association. 

                                        ii.    The Chairman will sanction all budgets and will exercise overall control on all policy matters of the Association. 

                                       iii.    The routine activities and the general administration & programmes of the association will be supervised and coordinated under the person nominated by him for each programmes/activities.

  1. The Vice-Chairman

                                          i.    The Executive Committee will appoint a distinguished dynamic versatile Alumnus, as a Vice-Chairman. 

                                        ii.    The Vice-Chairman will have no administrative responsibility but will function/serve as a representative of chairman for the professional activities organized from time to time.

                                       iii.    The Executive Committee, if it considers appropriate / necessary may appoint up to two such Vice-Chairmen. 

                                       iv.    The Vice-Chairman will hold office for one year at a time

  1. The Secretary

                                          i.    There shall be a The Honorary Secretary appointed by the executive committee for a period of 2 years and shall not be eligible for re-election.

                                        ii.    The Honorary Secretary shall carry out the alumni activities assigned by chairman from time to time, and shall be the custodian of the records, minutes of meeting, organizational assets created over the period of time.

  1. The Executive Committee shall manage the affairs of the Association by majority vote in the Committee Meeting provided that in case of equality of votes, the President shall have the casting vote.
  2. The Executive Committee shall meet at least four times a year.  The Secretary shall issue the notice and the agenda of the meeting at least a week before the date fixed for the meeting.  However, in case of urgent business, the meeting may be called at shorter notice.
  3. The quorum for the meeting of the Executive Committee shall be  4 members personally present provided that only Committee members under Clause 9(b) and shall be entitled to vote in the meeting and only their presence shall be counted for the purpose of forming the quorum.
  4. The Executive Committee shall be Executive Authority of the Association.  It shall be responsible for all the finances and funds of the Association and shall give effect to the plans and programmes of the Association and shall have the authority to carry them out.
  5. The property, movable, and immovable, belonging to the Association, shall be vested with the Executive Committee.
  6. The Executive Committee may terminate the membership of any of its members, in case he fails to attend two consecutive meetings of the said Committee without the grant of leave of absence.  However, the President may grant leave of absence to any member.

13. Finance secretary

  1. Finance secretary shall manage and receive funds, donations, and financial assistance from any non-political source for the furtherance of its objective of the Association.
  2. The finance secretary shall determine the expenditure, necessary to carry on the affairs of the Association and is authorized to incur such expenditure. 
  3. The finance secretary shall prepare & maintain income expenditure statement, annual budget, and carry out such other activities related to finance and seek approval from the executive committee from time to time. General body must approve all income and expenditures.
  4.  Finance Secretary shall open a bank account in any government/ private/scheduled bank on behalf of the Association in the name of “ ACPM Alumni” with authorized signatories of Chairman, Secretary and Finance Secretary.
  5. The Association's financial year shall end on December 31st. The accountsof association shall be audited once in year by the auditor appointed by the General Body at the Annual General Meeting

14. Common Seal

  1. The Executive Committee shall provide a Common Seal of the Association. The Seal shall be in the custody of the Chairman and be affixed to such documents as in law are required to be sealed, but only in the presence of an office-bearer or a member of the Executive Committee.
  2. The Chairman and the General Secretary or Secretary shall sign every instrument to which the Seal of the Association is so affixed.

15. Dissolution;

a.    The Association may be dissolved if three-fourths of its members pass a resolution for such dissolution at a general meeting convened for the purpose. The disposal of the property of the Association upon dissolution shall be made according to the provisions of the Act.

16. Interpretation:

a.    In any matter where there is no specific provision in the regulations or byelaws, the decision of the Executive Committee shall be final and binding on all concerned subject to the provisions of the Act.
